Rietveld Truck Rendement Service B.V. is committed to handling your personal data with care. In this privacy policy, we explain what personal data we collect, why we use it, with whom we may share it, how long we retain it, and what rights you have.

We process personal data in accordance with the General Data Protection Regulation (GDPR), the GDPR Implementation Act, the Telecommunications Act, and other applicable laws and regulations.

2. To whom does this privacy policy apply?

This privacy policy applies to personal data of, among others:

  • customers and former customers;
  • potential customers and business contacts;
  • contacts at customers, suppliers, and partners;
  • visitors to our websites;
  • individuals who fill out a form, request information, or sign up for a newsletter or event;
  • users who contact our customer service or help desk;
  • job applicants.

When Rietveld processes personal data on behalf of a client—for example, as part of certain fleet management services—Rietveld may act as a processor. In such cases, the client in question is the data controller and determines the purposes for which the data is used. Agreements regarding this are set forth in a data processing agreement.

3. What personal data do we process?

Depending on your relationship and contact with Rietveld, we may process the following personal data:

  • name, job title, and company name;
  • address and business location information;
  • phone number and email address;
  • information you enter in a contact, quote, demo, support, or registration form;
  • information about your question, request, agreement, or order;
  • communication with Rietveld, for example via email, phone, chat, or social media;
  • customer, billing, payment, and contract information;
  • information about your interests in our products and services;
  • IP address, device, browser, and website usage data;
  • cookie preferences and, if you give your consent, marketing and tracking data;
  • data necessary to provide service, support, and warranty;
  • job application data, such as your resume, cover letter, and correspondence.

We ask that you not provide any special categories of personal data, such as medical information, through our general forms, unless it is necessary and we explicitly request it.

4. Why do we process personal data?

We may process your personal data for the following purposes:

Contact, advice, and requests

  • to handle your question, quote request, demo request, or contact request;
  • to contact you about our products, services, or solutions;
  • to schedule appointments and provide advice;
  • to send you the information you requested.

Agreements and Services

  • to prepare quotes and to enter into and fulfill agreements;
  • to deliver, install, and maintain products and services;
  • to provide customer service, technical support, and warranty service;
  • to handle our administration, billing, and payments;
  • to manage suppliers, service partners, and other relevant parties.

Customer Relationship Management and Communication

  • to keep customer and contact information up to date;
  • to tailor our services and communications to your organization;
  • to inform you about important technical, functional, or contractual changes;
  • to handle complaints, questions, and disputes.

Marketing

  • to send newsletters, invitations, and relevant information about our products and services;
  • to gain insight into interest in our products and services;
  • to improve our website, campaigns, and communications;
  • to display personalized ads or campaigns, subject to obtaining consent where required by law.

Business Operations and Legal Obligations

  • to conduct our financial administration and audits;

  • to secure our systems, website, and business information;

5. On what legal grounds do we process your data?

Rietveld processes personal data only when there is a valid legal basis for doing so. Depending on the situation, we base the processing on:

  • performance of a contract: when processing is necessary to perform a contract or to take steps at your request prior to entering into a contract;
  • legal obligation: for example, for our financial and tax records;
  • legitimate interest: for example, for business relationship management, security, improving our services, and relevant direct marketing, in which case we carefully balance your privacy interests;
  • consent: for example, for newsletters or marketing and tracking cookies when consent is required by law.

You may withdraw your consent at any time. This does not affect the lawfulness of the processing that took place before you withdrew your consent.

6. Forms and Marketing Communications

When you fill out a form, we use your information to process your request and to contact you regarding it. This processing is necessary to fulfill your request and is separate from any subscription to marketing messages.

For digital commercial messages, we request consent when required by law. For existing customers, we may send information about our own similar products or services under the conditions set forth by law. Every commercial email includes an option to easily unsubscribe.

When you unsubscribe, we will no longer use your contact information for the relevant marketing purpose. However, we may retain your email address on an unsubscribe list for a limited time to prevent you from receiving unwanted marketing messages again.

7. HubSpot

Rietveld uses HubSpot for, among other things, contact forms, customer relationship management, marketing communications, and analysis of interactions with our website and emails.

Depending on your choices and your interactions with Rietveld, data such as your name, business contact information, form submissions, communication preferences, and website interactions may be processed in HubSpot.

For some of these processing activities, HubSpot acts as a data processor for Rietveld. Rietveld enters into contractual agreements regarding this, including agreements on security, confidentiality, and the international transfer of personal data.

8. Leadinfo

Rietveld uses the lead generation service provided by Leadinfo B.V. in Rotterdam. Leadinfo helps us identify which organizations visit our website by linking business IP addresses to publicly available company data.

In principle, this provides us with information about organizations and not about the identity of individual website visitors. Because IP addresses may, under certain circumstances, constitute personal data, we inform you about this in this privacy policy.

Depending on our technical setup, Leadinfo may use first-party cookies or cookie-less technology to analyze website usage. If consent is required for this processing, Leadinfo will only be activated after you have given your consent via the cookie banner.

If you do not want your visit to be recognized by Leadinfo, you can use Leadinfo’s opt-out option.

9. Cookies and Similar Technologies

Rietveld uses cookies and similar technologies to ensure the website functions properly, to analyze its use, and—when you give your consent—to tailor marketing activities.

We may use the following types of cookies:

10. With whom do we share personal data?

Rietveld may share personal data with parties necessary for our business operations and service provision, such as:

  • IT, hosting, CRM, and software providers;
  • installation, service, and collaboration partners;
  • suppliers and logistics service providers;
  • marketing and communications partners;
  • accountants, consultants, insurers, and debt collection agencies;
  • government agencies or regulatory authorities when we are legally required to disclose data.

These parties may only use personal data for the agreed-upon or legally permitted purposes. When a party processes personal data on behalf of Rietveld, we enter into a data processing agreement if required.

We do not sell personal data to third parties. Nor do we provide personal data to third parties for their own marketing purposes, unless you have given your prior consent.

11. Processing Outside the European Economic Area

Some suppliers or sub-processors may process personal data outside the European Economic Area. In such cases, Rietveld ensures appropriate safeguards, for example, based on an adequacy decision by the European Commission or approved standard contractual clauses.

12. How long do we retain personal data?

We do not retain personal data longer than necessary for the purpose for which it was collected, unless a legal retention obligation or a legitimate interest requires a longer retention period.

In principle, we apply the following retention periods:

  • contact and information requests: up to two years after the conclusion of the contact;
  • quote data without a contract: up to two years after the last substantive contact;
  • customer, contract, and service data: for the duration of the agreement and up to seven years thereafter, unless longer retention is necessary;
  • financial and tax records: at least seven years;
  • marketing data: until you unsubscribe or object, or as long as a relevant business relationship demonstrably exists;
  • cookie and analytics data: in accordance with the timeframes specified in the cookie preference center;
  • job application data: for up to four weeks after the conclusion of the application process, or for up to one year with your consent;
  • complaints and legal files: for as long as necessary to handle them and to comply with any applicable statutory limitation or retention periods.

Data may be retained in anonymized form for a longer period for statistical research. In such cases, this data can no longer be traced back to you.

13. Security of Personal Data

Rietveld takes appropriate technical and organizational measures to protect personal data against loss, unauthorized access, unlawful use, alteration, or disclosure.

Only employees and third parties who need the data to perform their duties are granted access. They are bound by confidentiality obligations and appropriate security agreements.

14. Your Privacy Rights

Depending on the situation, you have the right to:

  • access your personal data;
  • have incorrect or incomplete data corrected;
  • have personal data deleted;
  • have the processing of your personal data restricted;
  • object to processing based on a legitimate interest;
  • to object to direct marketing;
  • to receive your data in a portable format;
  • to withdraw previously given consent;
  • not to be subject to a decision based solely on automated processing that produces significant effects, where applicable.

Please send your request to info@rietveld.nl and indicate that it is a privacy request. To prevent abuse, we may ask you to verify your identity in an appropriate manner. When doing so, please black out any non-essential information on any identification documents you provide.

We generally respond within one month. In the case of complex or multiple requests, this period may be extended in accordance with the GDPR. We will inform you in a timely manner if this occurs.

15. Automated Decision-Making

In the context of the activities described in this privacy policy, Rietveld does not make decisions based solely on automated processing that have legal effects on you or similarly significant consequences.

16. Social Media and External Websites

Rietveld is active on various social media platforms. When you communicate with us via social media, we may process your public profile information and the content of your message in order to respond to it.

The social media platforms in question also process personal data independently. For more information, please read the privacy policy of the platform you are using.

Our website may contain links to websites operated by other organizations. Rietveld is not responsible for the processing of personal data through these external websites.
